Participating is easy. Just follow the simple steps below to register your school to be a part of the 2011 Coles Sports for Schools Program & start collecting vouchers from July 29th
Register your school
The Sports for Schools Team have sent a letter to every school Principals in Australia inviting them to join this year’s Sports for Schools program. The letter of invitation contains a unique School ID and Password for schools to use to register online.
To register your school, simply enter your unique ‘School ID’ and ‘Password’ into the Sports for Schools Members Login and follow the prompts to nominate your Sports for School’s Coordinator and update your school’s details.
Registrations open from July 18th 2011 but if you register now and we will add 500 Kick start vouchers to your school’s online voucher tally!

Collect vouchers for your school
Collecting vouchers is easy! Every member of your school’s community will earn one voucher for every $10 spent in a Coles, Coles Online, BI-LO or Pick ‘n’ Pay store from July 29th through to October 18th just for doing their regular shop!
For every $10 spent, they’ll earn 1 voucher
1 x Coles Sports for Schools voucher = 1 Point
Plus throughout the program there will be opportunities to collect bonus vouchers with our special promotional offers on over 1,800 selected products. So keep an eye out instore, online and on TV!
Excluded items include: Coles Express and Coles Insurance purchases, and gift cards, liquor, tobacco and tobacco related product purchases. Other products may also be excluded at Coles’ discretion.
Make sure you encourage your students to collect vouchers from family and friends as the more vouchers your school collects, the more sports gear your school will receive!
To count or not to count?
Did you know you don’t even need to count your Sports for Schools vouchers?
Well, it’s true! If your school doesn’t have the time or resources available to count your vouchers then all you need to do is collect them. Then at the end of the program we will arrange for an independent party to count your vouchers on your behalf.
Once your voucher tally is confirmed we will advise your school of exactly how many vouchers you have collected and you can select your preferred sports gear from our online catalogue. It’s too Easy!
Last year many schools did just that, but there were also many schools who enjoyed the thrill of the weekly count and asked us to help them by providing some online tools to monitor their school’s weekly progress. So if your school wants to set some sports gear targets and monitor progress towards achieving those goals from now thru 18th October then the online tally and wishlist tools are there for you to use. The tools are available to help you set up your school’s wishlist and share your achievements with the wider school community!
So in summary your school can elect to do one of three things when it comes to voucher counting:
- Count their vouchers each week and update the online Voucher Tally
- Count all their vouchers at the end of the program and update the Voucher Tally with the total count.
- Not count their vouchers and return them to us and we will arrange for an independent party to count them on your behalf (at no cost to your school).
The online Voucher Tally
If your school wants to count their vouchers each week the online Voucher Tally will help your school keep track of your weekly voucher count.
To use the online Voucher Tally simply count your vouchers each week, log into the Sports for Schools website and enter your weekly tally into your school's Homepage.
The online Voucher Tally tools will keep track of your weekly voucher counts, provide visibility of any online bonus vouchers your school has received and details your school’s Total Voucher tally.
Similarly at the end of the program your school can count all their vouchers and update the Voucher Tally with their final voucher count.
The 2011 Sports Gear Catalogue
The 2011 Sports Gear Catalogue has all a great range of fantastic sports gear your school can aspire to receive and is a great tool for gathering ideas and engaging your school community!
The catalogue contains a selection of 350 of the products available in thes year's full range of 850+ lines! Share the catalogue around at school and circle your favourite gear. Then once you have confirmed your ‘must have’ gear, go online and start to build your school’s sports gear Wishlist. The Wishlist shopping cart then has a further 500+ products for your school to select from! Just about every sport and sporting occassion is covered!
The online Wishlist tools
Once your school is registered the Sports for Schools online Wishlist lets your school review the fabulous range of Sports Gear on offer this year and select a ‘wishlist’ of items for your school to aspire to receive.
The Wishlist tools allow you to review the sports gear items on offer by sport, by school level or by points value and then add selected items into your school’s wishlist basket. The wishlist is set up as a regular online 'shopping cart' and items can be added or removed at any time. The Wishlist tools will help your school determine how many vouchers you will need to collect to achieve your wishlist target.
The Wishlist is also a great tool to help motivate the school community to collect vouchers. By setting up your school’s wishlist and communicating your voucher target to the wider school community everyone will know just how many vouchers you need to collect to achieve your wishlist target.
Your school’s Sports for Schools Coordinators can add to or change the school’s wishlist at any point in time up until order confirmation at the end of the program!

The online Thermometer
Should your school decide to utilise the online Voucher Tally & Wishlist tools they will also be able to utilise the online Thermometer which updates each time your voucher tally or Wishlist changes to reflect your school’s progress towards their target.
The Thermometer image can also be downloaded and shared with the wider school community – the thermometer image could be include in school newsletters, posted on school websites or even printed and placed above the Sports for Schools collection box!
Confirming your final voucher count
1. For Schools who elect to count their vouchers each week:
Make sure all your vouchers have been collected, carefully counted and your Voucher Tally is updated and confirmed. Then prepare your vouchers for return to the Sports for Schools Team as per the “Return your Voucher’ instructions detailed below.
Once your final weekly voucher tally has been entered you will need to confirm your wishlist as it will become your official sports gear order once the Sports for Schools team have validated your voucher tally.
Please ensure your wishlist total value does not exceed your Voucher Tally count. For example, if your order total is 10,000 points but your voucher tally is only 9,000 points, you will need to reselect product to be equal to, or less than 9,000 points.
Important: Once you have submitted your order you will not be able to change it. Please ensure you review your order carefully before hitting the ‘submit order’ button.
2. For Schools who elect to count all their vouchers at the end of the program
Make sure all your vouchers have been collected, carefully counted and that you have entered and confirmed your total voucher count using the Voucher Tally functionality. Then prepare your vouchers for return to the Sports for Schools Team as per the “Return your Voucher’ instructions detailed below.
Once your voucher tally has been entered you will need to confirm your wishlist as it will become your official sports gear order once the Sports for Schools team have validated your voucher tally.
Please ensure your wishlist total value does not exceed your Voucher Tally count. For example, if your order total is 10,000 points but your voucher tally is only 9,000 points, you will need to reselect product to be equal to, or less than 9,000 points.
Important: Once you have submitted your order you will not be able to change it. Please ensure you review your order carefully before hitting the ‘submit order’ button.
3. For Schools who elect to not count their vouchers at all & would like us to arrange for an independent party to count them on their behalf (at no cost to their school)
Carefully collect together all your vouchers and prepare them for return to the Sports for Schools Team as per the “Return your Voucher’ instructions detailed below.
There is no requirement at this stage for you to set up or confirm your Wishlist as you will need to wait until your voucher count has been confirmed to know how many points you have available. However if you have previously established a Wishlist there is no need to remove items from it, in fact it can remain in place and be used as the base of your final order once we confirm your final voucher count.
Returning your vouchers
In October the Sports for Schools Team will forward all registered schools a quantity of pre-paid Australia Post Satchels* for your school to return your vouchers for validation at the end of the program. Please note as the satchels will not be issued until October you will need to ensure in the interim you store your collected vouchers in a safe place.
After the program ends on October 18th your school should carefully pack ALL vouchers into the pre-paid Australia Post* satchels provided – using as many or as few satchels as are needed to safely accommodate ALL collected vouchers.
To be eligible to redeem your vouchers all satchels need to be posted after October 18th but before October 28th 2011. (If you post all your satchels together at the same time it will greatly assist us in managing your voucher validation).
Satchels can be returned to Australia Post by either of the following methods:
- Lodge your satchels at your local Australia Post Office counter who will then scan and register your satchels
- Alternatively, if your school has a regular collection by Australia Post then the satchel can be handed to your Australia Post representative along with your other postal items.
* If your school has not received their allocation of pre-paid Australia Post satchels before the 18th of October 2011 please contact the Sports for Schools Help Desk (Monday to Friday 8.30am - 5.00pm) - Phone: 1300 486 322 or via e-mail: sportsforschools@coles.com.au
Important:
- Coles will not accept any Vouchers returned in anything other than the pre-paid Australia Post satchels.
- Do not return your school’s vouchers in their collection boxes - they are to be used solely for storing your school's voucher collection during the program.
- To minimise the risk of loss of satchels, we suggest all schools keep a record of the Australia Post tracking numbers located on each of the Australia Post satchels.
Voucher Validation
Upon receipt of your school’s Australia Post satchels the Coles Sports for Schools Team will arrange for an independent party to validate your voucher tally.
If your voucher count has been successfully validated one of the following 3 things will happen:
1. If your School elected to count their vouchers weekly during the program and have confirmed their online Wishlist at the end of the program – your order will automatically be accepted and you will receive an e-mail form the Sports for Schools team confirming your order details and advising of a delivery timeframe early in the 2012 School year.
2. If your School counted their vouchers at the end of the program but is as yet to confirm their online Wishlist - you will receive an e-mail form the Sports for Schools team confirming your voucher tally and asking you to submit your confirmed order using the online Wishlist tools.
Please ensure your wishlist total value does not exceed your Voucher Tally count. For example, if your order total is 10,000 points but your voucher tally is only 9,000 points, you will need to reselect product to be equal to, or less than 9,000 points.
Important: Once you have submitted your order you will not be able to change it. Please ensure you review your order carefully before hitting the ‘submit order’ button.
Then once your order has been submitted you will receive a second e-mail from the Sports for Schools Team confirming your order details and advising of a delivery timeframe early in the 2012 School year.
3. If your School elected to have their vouchers counted for them - you will receive an e-mail form the Sports for Schools team confirming your voucher tally and asking you to place an online order using the Wishlist tools.
Please ensure your wishlist total value does not exceed your Voucher Tally count. For example, if your order total is 10,000 points but your voucher tally is only 9,000 points, you will need to reselect product to be equal to, or less than 9,000 points.
Important: Once you have submitted your order you will not be able to change it. Please ensure you review your order carefully before hitting the ‘submit order’ button.
Once your order has been submitted you will receive a second e-mail from the Sports for Schools Team confirming your order details and advising of a delivery timeframe early in the 2012 School year.
If we are not able to validate your voucher count:
If there are any issues validating your school’s voucher tally or your school has been awarded bonus points via donations from Coles On Line customers or via the Coles Sports for Schools Source MasterCard Promotion, the Sports for Schools Team will make contact with your Sports for Schools Coordinator.
Sports Gear Order Delivery
This year all schools will receive their sports gear order in one delivery, except if they have ordered personalised apparel. In this instance your school will receive 2 separate orders.
All orders placed by 28th October 2011 are scheduled to be delivered after the commencement of the 2012 school year. This is subject to stock availability and supply. Delivery of personalised apparel with custom printing (as detailed on the Program Website) may take longer as approval of artwork is required.
